How do I register for 2012 EcoFarm?
Online registration is the quickest way to reserve your space at the conference. Follow the Register Now link above, and the system will lead you through the process. Please be sure to provide current email and phone contact, so we may follow up with any registration questions.

Online registrations awaiting payment by check will be held for 5 days. If payment is not received by then, all conference registration and lodging reservations will be cancelled.

Mail/Fax Registration is available by completing a registration form and mailing or faxing to us. Download the form here or use the forms in our brochure, one per person, please. Include full payment by credit card number, check or money order payable to EcoFarm; mail or fax to Evans & Johnson, Event Manager. Registrations postmarked by December 9, 2011 will receive the early registration price.

Contact email addresses are required for confirmations from mail and fax registrations. Hard copy confirmations will NOT be mailed via US Mail.

How do I know my reservation is confirmed?
Your email confirmation will include a confirmation number and show a $0 balance due for all registered items. Pending registrations awaiting payment will show a balance due.

Can I register more than one person at a time and make just one payment?
Before you complete your registration, you will have the option to register additional attendees. Any persons registered through this group registration process will be linked to your registration (leader) record, and charges for all attendees will appear on the leader’s record. Note: Each attendee’s record MUST have an UNIQUE PASSWORD—whether all registrations in the group share a common email address and/or last name—so individual registrations may be re-accessed and edited online.

Does the conference sell out?
We sell out early on meals, lodging, and the bus tour. We will close choices down as we sell out. Waitlists may be available for some items.

What if I have to cancel my registration?
All cancellations must be confirmed in writing by EcoFarm. Cancellation received by 5:00 pm PST on December 31, 2011 are subject to a $55 fee. Cancellations received from January 1 through 5:00 pm PST January 24, 2012 are subject to a 50% cancellation penalty. Cancellations notices received after 5:00 pm January 24, 2012 are subject to a 100% cancellation fee.

What are the deadlines and cancellation or change fees?

When will I receive a refund on my cancellation?
Refunds will be issued in a timely manner through credit card refund or check, based on your original form of payment. Any cancellations received by December 31, 2011 will be refunded within 14 days. All cancellations after January 1, 2012 will be processed after the conference, no later than February 17, 2012.

Can I request a specific person(s) to room with?
Yes. Roommate matching is based on both/all persons registering for the same conference package and lodging nights. We will do our best to honor your request.

How do I request a specific room at Asilomar, Pacific Gardens, or Deer Haven?
Include your room request when you register online. While we cannot guarantee your request will be honored, we will make every effort to accommodate you. Priority is given to early registrations.

What if I am not able to check-in on time, but I plan to arrive late and stay for the remainder of the conference?
Please contact Asilomar’s Front Desk, 831.372.8016, as soon as possible to let us know of your delayed arrival. We will hold your lodging reservation. Please read the No Show Policy below.


IMPORTANT! Read our No Show Policy...

Your paid and confirmed lodging reservation is guaranteed only until 10:00 am the following morning after your check-in date. If you do not check-in or call in advance, advising us of your delayed arrival, your lodging will be cancelled for the remainder of the conference, and no refunds will be granted.


Can I bring my spouse and/or child to the conference?
Lodging at Asilomar is reserved for conference attendees only. If your spouse/partner plans to travel with you to Pacific Grove, please register yourself for lodging at Pacific Gardens or Deer Haven, as these two offsite motels offer single or double occupancy for one price. In addition, there are several other motels in the neighborhood where you may make your own lodging arrangements.

Your child is welcome at Asilomar at an additional charge per night, which includes lodging and meals. Please contact Evans & Johnson to include your child on your registration.

Speakers and sponsors may contact EcoFarm directly to inquire about the possibility of special arrangements.

Is childcare available during the conference?
Childcare is available for $60/day or for $120 for the full conference. Children must be 30 months or older, and must be out of diapers. Hours are Thursday & Friday: 8:15am-5:30pm (closed during lunch), Saturday: 8:15am-12:00pm. Please bring books, toys, and other materials for your child.
